Product and Service Setup Instructions

Overview

This document provides instructions for setting up products and services offered by a business. Products are additional items or services supplied and charged for. This setup allows users to define rules and descriptions for new products or edit existing ones. It also includes managing product groups and assigning GL numbers.

Prerequisites

  • Access to the Setup tab in the application menu.
  • Familiarity with product groups and GL numbers.

Steps

Location

  • Click on a Menu button.
  • Select the Setup tab.
  • Click on Product Setup.
  • All products will display within their Product Group. Click the arrow next to the Product Group to expand the product listing.

Adding New Product

  1. Click Add to create a new product or service.
  2. Label: Enter the name of the product.
  3. Group: Select the group to assign the product.
  4. Code: A system-generated code will display. Override with the product code if required.
  5. GL Type: Select whether the product is Revenue or Expense (for Owner Revenue Share products only).
  6. Discounts: Check if the product can be discounted.
  7. Rev Share: Check if the product is included in revenue share calculations for Owners’ commissions.
  8. Hide From POS: Enable to hide the product from the Point of Sale panel or reservation Sale transaction.
  9. Online Max Qty: Enter max quantity available for online purchasing if the product is in an Online Product Group.
  10. Online Rez: Check if the product is available for purchase with a Booking on the Online Booking page.
  11. Online Products/Services?: Check if the product is available for purchase via the Products/Services button on the Online Booking page.
  12. POS Hot Button?: Add product as a favorite to display at the top of the POS sale screen.
  13. Sell Online Category: Enter a Category label/group for the product to display under if Online Products/Services? is enabled.
  14. Description: Enter a brief description of the product if required.
  15. Images: Upload an image for products available for purchase on the Online booking page.
  • Image dimensions: 150 pixels high x 250 pixels wide.
  • Format: png or jpg.
  1. Taxes: Select the appropriate Tax(es) to apply to the Product.

Auto Charge Settings

  • Select this option if the product is required to be automatically charged on reservation creation, subject to the following rules:
  • Per Day?: Check if the product is to be charged for each day of the reservation.
  • Unit Types: Check the appropriate Unit Types for the auto charge to apply.

GL Codes

  • To assign the required accounting/GL code to the product:
  • Within GL Ref #1, click the Add button.
  • Select the required GL code from the dropdown.

Product Rates

  • If the product has a set rate (e.g., Crushed Ice Bag $5), enter rates into the Product Rate Setup.
  • If no set rate, leave as Not Set to manually apply the price at purchase.
  • Click on a Menu button, select Setup tab, and click on Product Rates Setup within the Pricing and Rates section.
  • Click the + symbol next to the Product Group and enter the rate into the New Rate column.
