Change Reservation Name in Guest Folio

Overview

This guide provides instructions on how to change a reservation from one person's name to another. The primary client's name cannot be deleted from the Guest Folio. There are two options available to change the name within the Guest Folio.

Prerequisites

  • Access to the reservation system.
  • Knowledge of the reservation details.

Steps

Option One: Cancel and Recreate Reservation

  1. Cancel the Reservation:
    - Right-click on the reservation in the Availability Grid and select Cancel from the dropdown.
    - Alternatively, if you are in the Guest Folio, click on the Status box and select Cancel Rez.
  2. Proceed with Cancellation:
    - Follow the cancellation process.
    - If a payment has been processed, refund the payment using the original Payment Type.
  3. Recreate the Reservation:
    - After cancellation, recreate the reservation for the same dates and unit type & unit under the second client's name.
    - Process the payment using the Payment Type selected during the cancellation process.
  4. Outcome:
    - The second client's name will appear on the Availability Grid, any invoices/receipts, and communications.

Option Two: Add a Second Client to the Guest Folio

  1. Select and Open the Reservation:
    - Open the Guest Folio for the reservation.
  2. Add the Second Client:
    - Within the Rez Details tab, click New Client to enter the second client's details if they are new.
    - If the second client is returning, click Client Search to find their details.
  3. Finalize:
    - Press Submit to finalize the addition of the second client.
  4. Note:
    - This option will only record the second client's name on the Guest Folio. The original client will still display on the Availability Grid and invoices/receipts.

Troubleshooting

  • Do Not Delete Primary Client's Details:
  • Do not delete the first client's details from the Primary Client section to enter the second client's details. This will overwrite the first client's details and result in the loss of their file.
