Unit Type Policy Editor Setup Guide

When setting up the unit type policy for the first time, follow these steps.

Prerequisites

  • Access to the system menu
  • Permission to modify business setup

Steps

Step-by-Step Guide

  1. Navigate to Setup
    - Go to Menu and select Setup.
    - Under Business Setup, select Unit Type Policy Editor.

  1. Select Unit Type
    - Under Business Setup, select Unit Type Policy Editor.

  • Select the type of unit that the policy will be added to.
  • To add a policy that applies to all unit types, select All Types.
  • To add a policy that applies to one unit type, select the unit type under the category All Types.
  • To add a new policy, select the type of policy.

Deposit

  1. Click Add.
  2. Set appropriate flag for label.

Policy Applicability

  • Rate Group: Select the appropriate tag if you want to apply this to the policy.
  • Applies to: Select the appropriate tag if you want to apply the policy to any reservation, days before check-in, or days after made date.
  • Rez Length: Refers to the length of time the policy will last for.
  • Wholesaler/Travel Agent: This feature can be applied to business customers.
  • Down To The Minute: This feature can be applied to any reservation, reservations timed to the minute or not applied at all.
  • Date Range At Check In: This refers to the dates you want the policy to start and end on.
  • Apply Tax To Calculations: Tick this option if you want the taxes to be included in the deposit calculations.

Policy Fees

  • Minimum: The least amount of money that would be taken for a cancellation.
  • Flat Amount: The amount of money that would be taken regardless of the size of the reservation.
  • Number of nights: The condition that has a set number of nights that has to be met in order for the cancellation to be applied.
  • Pro Rate: The average nightly rate.
  • Percentage: The percentage of the reservation fee that would be taken as a result of the cancellation.
  • Rounding: This refers to rounding the money to the nearest 10 value. The options to round up, round down, or no rounding are available.
  • Web-Based Bookings Only: Tick this option if you only want to show the policy online.
  • Include Rez Fee: Tick this option if you want the reservation to be included.

Deposit Conversion

  • Convert When: This feature allows you to determine when you want to convert the deposit into revenue after the reservation is made or before check-in.
  • # Of Days: This feature allows you to set the number of days you would hold the deposit before it is made into revenue.

Deposit Due

  • Due When: This feature allows you to determine when you want to receive the deposit, after the reservation is made or before check-in.
  • # Of Days: This feature allows you to set the number of days prior to check-in you require for the deposit to be paid.
  1. Add a change control comment.
  2. Submit.

Security Deposit

  1. Click Add.
  2. Set appropriate flag for label.

Troubleshooting

  • Ensure you have the necessary permissions to access and modify the Unit Type Policy Editor.
  • Verify that all required fields are filled out correctly before submitting.
