Indicating Units with Special Information

This document provides guidance on how to flag units with specific limitations, such as "No Pets," to ensure staff are aware of any special conditions associated with renting these units.

Prerequisites

  • Access to the Availability Grid
  • Permissions to modify Unit Alerts, Unit Descriptions, and View Tabs

Steps

1. Unit Alerts

  • Objective: Change the color of the Unit's Unit Type on the Availability Grid.
  • Procedure:
  • Click the Utilities button from the Availability Grid and select Alert Setup.
  • In the Alert Setup panel, click Add.
  • Enter the following details:
  • Label: Name of the Alert (e.g., "No Pets")
  • Colour: Select the required color
  • Alert Type: Select Unit
  • Press Submit to finalize.
  • On the Availability Grid, select the required Units. From the Upcoming Bookings and Pencil In dropdown, select the Alert from the Unit Alert.

2. Unit Description Information

  • Objective: Display information in the Upcoming Bookings and Pencil In dropdown when the unit is selected on the Availability Grid.
  • Procedure:
  • Click Setup from the Menu Bar, expand Business Setup, and click 7. Unit Types > Units > Features.
  • Scroll to the Unit Setup panel and expand the Unit Type tree list.
  • Select the units from the tree list and click Edit in the Unit Description panel to enter the information.
  • Repeat for the remaining units.

3. View Tabs

  • Objective: Create a View tab to group units with special information.
  • Procedure:
  • Click the Utilities button from the Availability Grid and select View Setup.
  • Click Add.
  • Enter the following details:
  • Grid Type: Unit
  • View Label: Enter the name (e.g., "No Pets")
  • Order of Appearance: Enter the order number for appearance
  • Initial Grid View: No
  • Select the required Units to display within this View Tab.
  • Press Submit to finalize.
  • On the Availability Grid, a View Tab will now contain all the flagged units with the special information.

Troubleshooting

  • Ensure you have the necessary permissions to modify the Availability Grid settings.
  • Verify that the correct units are selected when applying alerts or creating view tabs.
  • If changes do not appear, refresh the Availability Grid or check for any setup errors.
