Affiliate Code Setup in Salesforce Reservations

Overview

Referral Codes/Affiliate Codes can be set up to be recorded on the reservation.

Prerequisites

  • Ensure that a new field within Salesforce is added prior to setting up affiliate codes.

Steps

Location

  • Click on the Menu button.
  • Select the Admin tab.
  • Click on Affiliate Setup.

Add

Within an individual business:

  • Click on the Menu button.
  • Select the Admin tab.
  • Click on Affiliate Setup.
  • Click Add.

Company/Agent Name

  • Enter the name of the Affiliate. This will display within the Booking Details Affiliates field prior to the affiliate code. The affiliate name only will be sent to Salesforce.

Company URL

  • Enter the URL of the affiliate. This field can be left blank.

Referral Code

  • Enter the referral code/affiliate code.
  • Character limit: 10 characters.
  • Character format: Alphanumeric.
  • Codes cannot be the same between different affiliates (active or inactive).

Start Date and Last Date

  • Select the Start and Last Date for the affiliate code. These dates are for administrative purposes only and will not stop affiliates from booking.
  • Select the Active flag.
  • The referral code is added to the booking URL: &rc=
  • It can be added after the book?business_code=XXXXXX or at the end of the URL (after the unit type ids/occupant ids etc). There is no set placement for the referral code within the query string.

Unknown

  • Within Affiliate Setup, there will be an Unknown affiliate that is active.
  • This is a system-defined affiliate and will handle any affiliate codes that are received that have not been set up.
  • When a customer navigates throughout the online booking interface, the affiliate code will remain attached even if it is not displaying in the URL.

Guest Folio

  • An additional line will display within the Booking Details of the Guest Folio – Affiliates.
  • The code linked to the affiliate will automatically display.
  • This field is read-only and cannot be adjusted by any operator.
  • Any reservations created prior to the Affiliates module being enabled will display None in the Affiliate field.

Troubleshooting

  • Ensure that the affiliate codes are unique across different affiliates.
  • Verify that the Salesforce field for affiliates is set up correctly before adding codes.
  • Check that the affiliate code remains attached in the booking URL as expected.
